Invitation

Dear colleague,
I take pleasure in inviting you to the 22nd Meeting of the Directors-General for Civil Protection from the EU Member States, EEA countries and candidate countries. The Meeting will be held in Prague from 22 until 24 April 2009 at the TOP Hotel Praha.
The draft programme of the Meeting, practical information for the participants, instructions for on-line registration and registration form are enclosed. I would like to ask you to register no later than 16 March 2009.
All the information regarding the meeting is also available at http//www.hzscr.cz/presidency.
The meeting agenda will be sent to you directly by the European Commission.

Practical Information

Registration
 
To register your delegation, please follow the enclosed Instructions for on-line registration.
The deadline for the registration is 16 March 2009.
 
Badges
 
Security badges will be distributed when the delegations arrive in the hotel during the check–in process. We kindly ask you to wear the badges at all times during the entire meeting programme. Please report immediately any loss of security badges to the organizers.
 
Meals
 
Dinner on Wednesday, 22 April, lunches on Thursday, 23 April and on Friday, 24 April will be served at the restaurant at the TOP Hotel Praha. Dinner on 23 April is arranged at the SEN restaurant near Chateau Konopiště.
 
Interpretation
 
English and French language simultaneous interpretation will be provided during the plenary sessions.

Arrival/Departure/Transport

We recommend you that you book a flight or train that arrives in Prague on Wednesday, 22 April before 14:00. Delegates will be met at the Prague-Ruzyně Airport in Arrival Halls of Terminals 1 or 2; or in Arrival Hall of the Prague Main railway station by the conference organizers. Transport will be organised from the airport or the railway station to the TOP Hotel Praha. The journey takes approximately 45 minutes.
 
Should the participants arrive directly to the TOP Hotel Praha, please follow the transportation instructions at the hotel’s web page: http://www.tophotel.cz/en/footer-menu/transportation-to-the-hotel/.
 
Transportation for scheduled events away from the meeting venue will be provided by buses. We are unable to meet any requests for transport outside the timeframe of the meeting or beyond Prague.
 
We will arrange also the transport from the meeting venue to the Prague – Ruzyně Airport or the Prague Main railway station on Friday, 24 April after lunch. Please note that after transfer from the hotel to the Prague – Ruzyně Airport or the Prague Main railway station on 24 April, organizers will not provide any further transport.

Based on the information you will provide when registering, the organizers will book rooms for your delegation at the TOP Hotel Praha.

The organizers will cover the accommodation only for the Heads of delegations. Room rate for delegates is 3 520 Kč (approximately 122 EUR) for a single room per night. Please note that participants have to bear the costs for any additional services when checking out of the hotel.
Free wifi internet access is available in all rooms of the hotel.
 
The TOP Hotel Praha & Congress Centre also serves as the meeting venue.

Instructions for on-line registration

The registration for the Meeting is provided by means of the on-line system AKROS.
We recommend that registration applications for the whole delegation are filled in by one person – the contact person. It is up to you to decide who to entrust with this task. We would like to ask the contact person to enter the required data for all members of the delegation, and, if necessary, change the data that was not entered correctly, before the deadline16 March 2009. In case of difficulties with the on-line system, please fill in and send by e-mail (barbora.nemcova@grh.izscr.cz) or fax (+420 950 819 962) the enclosed registration form until the same deadline.
